QuickBooks Desktop (Pro/Premier/Enterprise) Quickbooks Desktop 2020 Discontinued Services

Here is the list Intuit published regarding parts of QBDT 2020 that will discontinue working 5/31/2023. If you own QBDT 2020 or prior, you own the software. If you have any version of QuickBooks Desktop that includes PLUS in the name, you do not own the software and have to pay an annul subscription to maintain access.

Functions that will no longer work in QBDT 2020 after 5/31/23:

Security updates: Critical security updates

Payroll services: Assisted Payroll, Basic Payroll, Enhanced Payroll, Standard Payroll

Payroll-related services: Direct Deposit for vendors, QuickBooks Workforce (ViewMyPaycheck, VMP)

Credit card processing: Merchant Services, Terminal download (Merchant Services), Recurring payments, Online invoice

Check processing: Intuit Check Solution

Tech support plans & included services: QuickBooks Care protection plan

Other services: Accountant Copy File Transfer, Multicurrency/exchange rate, Contributed reports, Online Banking, QuickBooks Email, QuickBooks Time, Online Bank Feeds

Edit:

Manual .qbo bank imports will also stop working.

Emailing invoices will still work fine if you go into preferences-send forms, and set "send email using:" to webmail instead of Quickbooks mail. Not affected by product sunset.

Although it says "webmail", you can actually use almost any email provider, not just a web-based one like gmail. I have it send via my regular business email.

QuickBooks Desktop (Pro/Premier/Enterprise) Quickbooks Desktop - THE END IS NIGH I received the first "We're sunsetting QBDT" email from Intuit this morning.

I've been saying for several years now that Intuit will likely start moving toward a full-cloud based solution, and today my suspicions were confirmed.

I see their perspective - cloud-based software is much easier to troubleshoot, because most browser-based software is operating system and networking structure agnostic, meaning if you are able to use an approved browser (Chrome, Firefox, Internet Explorer, etc), then you are able to use their software.

In addition, SaaS (Software as a Service), is quite lucrative because the costs to maintain the software - hosting space, bandwidth, etc - is quite low compared with traditional software costs. While my firm is a 100% QBO shop, I know there are a lot of folks (users and accountants alike) who prefer QBDT. While I understand Intuit's reasoning here, I can't help but think that some of their less-expensive competitors are cheering right now.

• QuickBooks Desktop Pro Plus
• QuickBooks Desktop Premier Plus
• QuickBooks Desktop Mac Plus
• QuickBooks Desktop Enhanced Payroll
What is not changing:
• Existing Desktop Pro Plus, Premier Plus, Mac Plus, and Enhanced Payroll subscribers can continue to renew their subscription after July 31, 2024*. We will continue to provide security updates, product updates, and support for existing subscribers.
• All QuickBooks Desktop Enterprise subscriptions (Silver, Gold, Platinum, and Diamond) will continue to be available for purchase for new subscribers after July 31, 2024. Enterprise Gold, Platinum, and Diamond include integrated payroll.
• Accountants can continue purchasing QuickBooks Accountant Desktop Solutions, including ProAdvisor bundles, through our Accountant Sales team after July 31, 2024.
What actions to take with your clients:
While we strongly recommend encouraging your current Desktop clients to move to QuickBooks Online (for more info, click here), we realize that some customers may prefer to stay on Desktop at this time.
• If you have clients on non-subscription versions of QuickBooks Desktop Pro, Premier, or Mac that wish to remain on Desktop, we recommend they purchase a QuickBooks Desktop Pro Plus, Premier Plus, or Mac Plus subscription through our Sales team before July 31, 2024.
• If you have Pro Plus or Premier Plus clients that have been considering Desktop Payroll, we recommend they purchase a QuickBooks Enhanced Payroll subscription before July 31, 2024 or upgrade to QuickBooks Enterprise Gold, Platinum, or Diamond, which include integrated Payroll and can be purchased after July 31, 2024. Alternatively, QuickBooks Online Payroll is available to Desktop clients and is a standalone full-service payroll solution that also offers HR support, Health and 401K benefits.*
• We also recommend that all of your QuickBooks Desktop clients upgrade to the latest version of the software by July 31, 2024. QuickBooks Desktop 2024 includes the latest features and security updates. If your clients are on an active QuickBooks Desktop Plus subscription, they have access to QuickBooks Desktop 2024 with no additional charge and simply have to install the update.
In February 2024, we will notify all QuickBooks Desktop customers of these changes. This gives you and your impacted clients 6 months to purchase a Desktop accounting or payroll subscription if they want to remain on the Desktop platform.
QuickBooks Desktop Product Line-up Changes FAQ
Starting on January 8, 2024, the fee for each direct deposit paid through QuickBooks Desktop Payroll will increase to $4
• This price change impacts QuickBooks Desktop Enhanced Payroll for Accountants when using direct deposit to pay W2 employees.
o Because the employee direct deposit fee is billed directly to your clients, Intuit will send a 30-day notice to your impacted clients, addressed to the primary principals' email address on file.
• For clients on "legacy" Enhanced, Standard, or Basic Payroll plans without monthly per employee fees, the new fee will apply when paying W2 employees via direct deposit.
Payroll FAQs
We appreciate you and your clients' loyalty to the Desktop platform over the years, and we will continue to support those customers on a Desktop subscription after July 31, 2024*. However, we highly encourage you to prepare your clients for the future by helping them move online. There are many benefits enabled by an online platform that can't be realized through desktop software, including time savings, the flexibility to work from anywhere, and a customizable ecosystem of connected business solutions. To help you prepare to move your clients online, we've created dedicated support materials written by accountants who have successfully migrated their own clients and want to help pave the way for yours. Keep an eye out for additional resources as we help you manage through this change with your clients.
Thank you for your business and your continued support of QuickBooks.

Sincerely,

The QuickBooks Team

QuickBooks Online QBO Double posting Deposits

I work part time for a small landscaping company that uses Jobber for CGM and QBO for payroll.

We have a client that manages several properties.

They sent seven individual payments for seven separate invoices on 10/20.

The invoice payments were processed in Jobber.

QBO matched the bank feed deposits to the invoices.

Yesterday, I received the payments in QBO, recorded each deposit and matched each deposit to the deposit in the bank transaction. Each deposit now shows up as cleared in the chart of accounts

But under deposits there are now seven duplicate deposits that are hanging open.

Why would QBO do this?

QuickBooks Online How can I create a QuickBooks account for practice in India?

Post image
4 Upvotes

Hi all QBkeepers,

Can anyone please guide me on how to set up or create a QuickBooks Online (QBO) account in India for practice purposes?

I'm looking for a free demo or practice account where I can learn and practice bookkeeping, transactions, bank reconciliation, reports, etc.

Is there any free option available in India? Or is there any alternative way to practice?

Any suggestions or guidance would be appreciated. Thanks in advance!

QuickBooks Online For those of you that stuck with QBO after the automatesld tax change.

How is it working out? I moved to patriot software. I did not like the idea of Intuit having their hands in my payroll account. And as I understand it, if te funds are not there, Intuit would fine you or charge interest, but they pay no interest when they are holding 3 months of payroll taxes?

QuickBooks Online Deposit timing

I get paid mostly via ACH from my clients.
I used to get the deposits into my QuickBooks checking within a hour or so. About 2 weeks ago it’s now taking 4-5 days. Nothing changed in our end. Anyone else experiencing this?

QuickBooks Online How do I set my reports default from cash to accrual?

I knew how to do this under the old QBO UI but am having some problems trying to find it. I changed a client's accounting from cash to accrual but that does not change the default for reporting and I cannot find how to do that.

Edit: Go to the My Menu in the upper left hand of the main screen. I had to select the icon for settings. I had to activate "Reports" and I had to un-select the other options so reports would show up. Once I had that, it was easy. This only works with users have "Accountant" level access. Thanks to all who responded.

QuickBooks Online Does QuickBooks AI bookkeeping work for accrual accounting and customer deposits?

I review a lot of takeover QuickBooks Online files for service and install contractors, and I keep seeing the same mess when shops rely on AI bank-feed suggestions. After years building job-costing tools for mechanical contractors, we tested unassisted AI models on our month-end close checks across real contractor QBO files covering bank cutoffs, supply-house AP bills, undeposited funds, and customer deposits. Those unassisted runs topped out at 71% raw accuracy on our month-end close checks, and the misses were almost never on simple gas station or software receipts.

The real trouble starts where the QuickBooks bank feed meets accrual timing in HVAC and plumbing shops. Say a customer pays an upfront deposit in late October, and the install gets pushed to mid-November because of an equipment backorder. Under accrual accounting, those upfront deposits belong in an unearned customer deposit liability account until the crew mobilizes and incurs the job costs. But the QuickBooks bank feed only sees cash hit checking in October, so an AI suggestion mirrors prior coding or pushes the deposit into an income account because it cannot see the rescheduled dispatch date sitting over in ServiceTitan or BuildOps. October gross margin looks artificially high, the owner thinks they had a great month, and then November gets crushed when the install crew payroll and supply-house bills land against zero remaining revenue.

The second place it consistently breaks is client takeovers where a previous bookkeeper left a row in uncategorized expense and fixed it with a manual journal entry rather than matching the bank feed. Unassisted AI categorizes the bank line a second time and doubles the expense on the P&L.

In the books I review, we end up disabling AI bank-feed suggestions on everything except routine fuel and card spend. For others here cleaning up contractor QBO files, are you seeing any bank-feed automation hold up on deposits, progress draws, or supply-house statements, or are you walling those off completely too?

QuickBooks Online Keep COA account numbers when making inactive or not?

I have a client who has a COA which is out of control and has been for years. Nothing outrageous, just too many categories. I am redesigning their COA. I will make the old GL accounts inactive and add GL accounts to create more consolidated reports. I do this, rather than merge the accounts, as I want to keep the original reporting for past years.

I would love to keep the original GL account numbers for the new GL Accounts but I can only do this if I specify "do not keep account numbers" when I make them inactive. I think not keeping the original numbers will really mess up the reports from prior years

I wondered if anyone can offer advice.

QuickBooks Online Finally understand why everyone hates QuickBooks

So, recently, I got a client from here on Reddit who wanted me to migrate over four years of historical data from Excel to QuickBooks Online for account reconciliations against their existing sheets, and also find a way to make the process relatively straightforward going forward.

I'd used QB a long while back, but I'd forgotten most of it since that was more of a favour to a colleague than anything else.

Anyways, one phrase she kept uttering as we discussed the project was "I hate QB." Honestly, I found it funny. My thoughts at the time were, it can't be that bad. That was until I found and browsed this sub. Oh dear!

When I started working on the project, I perfectly understood why most on here shit on it. The common sentiment across both subs seems to be recommending alternatives.

That said, the first annoying thing I encountered was how clunky the user experience is. You can't just import your data; it has to be mapped correctly to how QB expects it. Fair enough, I guess. But the amount of data cleaning and modelling I had to do to get everything mapped correctly to QB's invoices default format to generate the corresponding AR was painstaking.

The client initially wanted me to use journal entries (JEs), which would have been a complete clusterfuck wrt to their data but flagged it early. Then there's the limit on the number of invoices you can import at a time. Luckily, the way I modelled the data got me around this, so I only needed about four or five imports for the entire dataset initally.

When I wanted to cross-check everything against the original sheets, I couldn't go back more than three months to view payments or invoices. I later found them under "All Transactions," IIRC. I also noticed duplicates, even though QB supposedly prevents them.

Even the API wasn't spared. I eventually used Google Apps Script to automate pushing invoices and payments to QB after transforming the data, while also implementing duplicate prevention and tracking.

One annoying stuff was that the query endpoint requires a POST request with the content type set to "application/text" instead of "application/json". I only found that out after staring at failed requests for a while. Their developer dashboard didnt help either. The save button was hidden off-screen, lol. I only found it after I luckily zoomed out, imagine.

There were a couple of other headaches I'm not even remembering right now. Oh yeah, reconciling payments against individual invoices was another one, especially since each invoice could have multiple payments. It was complicated by the payment structure with inital payments and holdbacks both paid months after date of service.

Anyways, I still found a way through, despite QB's annoyingness. The actual stuff was more complex than this post would explain.

Historical data was successfully migrated and reconciled while also set up so that subsequent data can be transformed to match QB's requirements and imported periodically, covering both invoices and payments. There's also duplicate prevention and a tracking dashboard that flags matches, mismatches, and errors btw sheets and QB.

So, yeah, I finally get the complaints, sort of counterintuitive if that's the right word, luckily didn't have to deal with predatory pricing, another popular complaint I found.

TL;DR: Had issues with QB's user experience while migrating over four years of historical data from Excel to QuickBooks Online. Had to clean and model the data to match QB's requirements without losing the detail it captured, reconcile invoices and payments, and used Apps Script  to automate subsequent imports with duplicate prevention and a dashboard for tracking matches, mismatches, and errors. Pretty much every step was counterintuitive but it worked out.

QuickBooks Online Duplicate transactions when doing both receipt snap and bank statements?

I've been using the receipt snap feature for a while, since I learned about it, and then later found that could link my bank account directly and pull straight from that. I have been using the mobile app mostly, which is maybe part of my problem. When I jave been doing the reciept snap, it seems the only option is to post it as an expense, or it just goes into the "to be reviewed" folder. I don't see any other option to match it with a bank account or anything, so I've just been posting them.

Now I realized that I am ending up with a lot of duplicate transactions. Is the best course of action to just delete all the receipts, excepting ones that were cash transactions, and then just pull from my checking and credit card statements? Obviously I would still save physical copies of the receipts in my desk, but I just want to make sure I'm not double dipping when figuring out my expenses.

Is there a way to do this automatically, or will I need to manually delete each receipt that was recorded?

QuickBooks Online Keeping Inventory At Multiple Locations in QBO?

Thumbnail
3 Upvotes

Looking for some guidance on this. Our QBO is awful because it's the amalgamation of ten years of multiple people who aren't accounting trained doing whatever they think is best in Quickbooks. I feel like there has to be a "correct" way to handle the multiple locations inventory for a system that's supposed to be as all encompasing as Quickbooks.

QuickBooks Online Another QuickBooks Fail

I send estimates with a deposit amount selected. QuickBooks has decided that’s the only important number apparently showing it centered and at least 3x larger than the total estimate amount when viewed in an email causing much upfront confusion for people quickly reviewing an estimate.

The total should be the larger number shown and the deposit being second.

General bookkeeping questions that are not software specific Owner Depositing Customer Payments into Personal Account, and then transferring into business account?

EDIT – SOLVED: I created a clearing account called "Owner Bank" in QuickBooks. I used Bank Deposits to move the existing customer payments from Undeposited Funds into this account without recording additional revenue.

I then categorized the owner's deposits in the bank feed as transfers from Owner Bank. For the final deposit, I created a Bank Deposit using the remaining Owner Bank balance and allocated the difference to shareholder contributions.

Finally, I matched that deposit to the corresponding bank transaction. The Owner Bank clearing account now has a $0 balance, all customer payments are accounted for, and no duplicate revenue was recorded. The owner agreed to NOT do this in the future. Thanks to everyone in the comments with the solution here, it worked well!

END EDIT**\*

The owner is depositing cash and checks into his personal account from customer payments, and I'm having a hard time trying to understand how to unscrew the books in QuickBooks from this.

I have several customer invoices where I've noted we've received payments into undeposited funds. However, the owner, in an effort to fix the situation, transferred several deposits for various amounts to make the cash payments/checks cover the outstanding invoices that need cash applied to as a deposit.

For e.g., I have $6k in outstanding undeposited invoices that were paid by customers, but he made 3 transfers that were for some obscure amounts, but they do total roughly to the invoices.

How do I record his 3 varying transfers to match the various amounts needed for the invoices in QB online to show they've been deposited?

Do I need to delete the recorded payments, and then try to match/split them against the deposits?

Thanks in Advance

How do I become a bookkeeper/start my business? Intuit Academy and QuickBooks Live Bookkeeper

Has anyone with zero bookkeeping experience tried out Intuit Academy?
I’ve never done any type of accounting or bookkeeping work in my life. I noticed that the Quickbooks Live Bookkeeper can omit some of the experience required by taking the courses on Intuit Academy.
Can anyone give me an idea of what it’s like to work as a Quickbooks Live Bookkeeper, or if an absolute beginner with no experience have any chance of being hired? Please be kind, life is rough right now. Just found out my remote job of three years is going under and I’m being laid off near Christmas time.

QuickBooks Online Built a free tool to convert scanned PDF bank statements directly to .QBO (QuickBooks Web Connect) files

Hey QuickBooks users,

One of the most annoying parts of onboarding new clients or catching up on past-due books is when banks only provide PDF statements instead of direct bank feeds or .QBO files.

I built a lightweight web converter called StatementForge (https://statementforge-ai.netlify.app/) to turn those locked bank PDFs directly into QuickBooks Web Connect (.QBO) and Excel files.

Key highlights:

- Exports natively formatted .QBO files that match QuickBooks import standards

- Runs an automatic balance reconciliation audit before exporting so you don't miss a line

- Privacy-first: Runs client-side in your browser, keeping client bank data confidential

- Free 3 pages/month to test out your statements

Check it out here: https://statementforge-ai.netlify.app/

Hope this saves you some manual data-entry hours, and let me know if there are specific bank formats you want added!
